Zoho Books Implementation Cost in India (2026): Licence, Setup and Ongoing Fees

Ask what Zoho Books costs and you will usually be quoted the plan price: ₹749 a month for Standard, ₹1,499 for Professional, billed yearly. That is the licence. It is the smallest of the three costs a business actually pays in its first year, and the only one printed on Zoho's website. The other two are the one-time work of setting the software up for your GSTIN, your history and your reports, and the ongoing cost of someone keeping the books on it. This post sets out all three, what moves each one, and the costs that tend to surface only after the project has started.

In India in 2026, a standard Zoho Books implementation for a single-GSTIN business typically costs ₹12,000 to ₹20,000 in professional fees, and setup with a Tally migration ₹25,000 to ₹45,000. Multi-entity or multi-GSTIN projects start around ₹50,000. These are on top of the Zoho licence, which runs from free to ₹7,999 a month billed yearly, and the ongoing cost of maintaining the books. The largest variable is not the software but the state of your existing data.

Keeping the licence in your own name matters. The organisation, the data and the audit trail stay with you if you change accountants, and the partner works through a user login you can revoke. Any proposal that bundles the Zoho subscription into the partner's fee deserves a question about who owns the account.

Typical implementation fees in India

These are the ranges we work to as a Zoho partner CA firm in Mumbai. They are in line with what we see quoted for comparable scope in the market, at the lower end.

ScopeIndicative fee
Standard setup: single GSTIN, chart of accounts, opening balances, invoice templates₹12,000 – ₹20,000
Setup + Tally migration₹25,000 – ₹45,000
Multi-entity / multi-GSTINFrom ₹50,000
Each integration (payment gateway, e-commerce, CRM)₹5,000 – ₹12,000
Team training (2–3 sessions)₹6,000 – ₹10,000
Ongoing support₹4,000 – ₹8,000 a month

Indicative professional fees for typical engagements, excluding GST and the Zoho subscription. The final fee depends on scope and volume and is confirmed in writing before work starts. Fees are subject to change without notice.

What each scope includes, and how long it usually takes, is on our Zoho Books implementation page.

What moves the implementation fee

  • Years of history. Opening balances only is the fastest route. Migrating two or three years of vouchers means reconciling each year-end to the old system before importing the next.
  • Number of GSTINs. Each GST registration is a separate Zoho Books organisation with its own settings, returns and reconciliation. Branch transfers between registrations need invoice-based design.
  • Data quality at source. Duplicate ledgers, one party held as both debtor and creditor, unreconciled suspense balances and unapplied advances in Tally all have to be resolved before import.
  • Inventory. Items with HSN codes, opening stock by warehouse, batches and valuation add a workstream of their own.
  • E-invoicing and e-way bills. If you are above the thresholds, these are configured and tested before the first live invoice.
  • Integrations. Each payment gateway, marketplace or CRM connection needs mapping, test transactions and a rule for fees and settlements.
  • Reporting needs. Cost centres, project tags and a management P&L by business line are cheap to set at the start and expensive to retrofit.

The costs that are easy to miss

  • Data cleanup before migration. The single most common overrun. A Tally file that has run for eight years usually needs ledgers merged, parties reclassified and old advances applied before anything can be imported. Ask whether the quote includes this, or treats it as extra.
  • Opening-balance reconciliation. Loading receivables and payables invoice by invoice, rather than as one lump, so that ageing and payment matching work from day one.
  • GST and TDS carry-forward. Input credit should be agreed to the electronic credit ledger on the GST portal, and TDS receivable to Form 26AS, not to the old books.
  • Your own team's time. Someone has to answer coding questions, approve the chart of accounts and run the parallel month. That time has a cost even if it is not invoiced.
  • The plan you actually need. A feature you rely on, or the number of users, may sit on a higher Zoho plan than the one you priced. Check before you buy, not after go-live.
  • Third-party connectors. Some integrations rely on a paid connector or app with its own subscription.
  • Retraining after staff changes. If the person who was trained leaves, the knowledge leaves too unless the workflows are documented.

What the first year adds up to: two illustrations

Simple arithmetic from the ranges above, before GST, to show how the lines combine.

  • A three-person services firm, one GSTIN, starting fresh on Standard. Licence ₹749 × 12 = ₹8,988. Standard setup ₹12,000 – ₹20,000. First-year total about ₹20,988 – ₹28,988, with the books then kept in-house.
  • A trader moving from Tally on Professional. Licence ₹1,499 × 12 = ₹17,988. Setup + Tally migration ₹25,000 – ₹45,000. Team training ₹6,000 – ₹10,000. First-year total about ₹48,988 – ₹72,988, before any ongoing support.

If a partner will also keep the books every month, the setup is usually folded into the transition and the monthly fee becomes the main line. Our outsourced accounting services page lists those packages, and the true cost of accounting for small businesses sets the comparison against an in-house hire.

DIY or partner?

Zoho Books is designed to be set up by its users, and for some businesses that is the right call.

  • DIY is reasonable for a new business with one GSTIN, no history to migrate, a services model with no inventory, and someone on the team who understands place of supply and HSN/SAC codes. Follow our Zoho Books GST setup guide step by step and test before going live.
  • A partner earns the fee when you are migrating from Tally with history, have more than one GSTIN, are above the e-invoicing threshold, carry inventory, or need the opening balances to stand up to an audit. Mistakes here surface months later, in a GSTR-2B mismatch or at year-end, when they cost more to fix than the setup did.

If you are comparing partners, our note on working with a Zoho Finance Partner in Mumbai covers what to look for, and the Tally to Zoho Books migration framework shows what a reconciled migration involves.

Five questions to ask before you sign

  1. Is the fee fixed against a written scope, and what happens if the data needs more cleanup than expected?
  2. How many years of history are migrated, and is each year-end reconciled to the old system?
  3. Are receivables and payables loaded invoice by invoice?
  4. Who files the first GST return from the new system, and who checks it?
  5. Does the Zoho subscription stay in our name?

Frequently Asked Questions

How much does Zoho Books implementation cost in India?

Indicatively, ₹12,000 to ₹20,000 for a standard single-GSTIN setup, ₹25,000 to ₹45,000 for setup with a Tally migration, and from ₹50,000 for multi-entity or multi-GSTIN projects, excluding GST and the Zoho subscription. The final fee depends on scope and is confirmed in writing.

Is the Zoho Books subscription included in the implementation fee?

It should not be. The licence is paid by you directly to Zoho so that the organisation and data stay in your name. The implementation fee covers the professional work of setting it up.

How long does a Zoho Books implementation take?

A single-GSTIN business with clean data and no history is usually live in one to two weeks. A Tally migration with two years of history typically takes three to five weeks, most of it in mapping and reconciliation.

Can I set up Zoho Books myself?

Yes, if you are a new single-GSTIN services business with no history to migrate and you understand GST place of supply and HSN/SAC codes. Migrations, multiple GSTINs, e-invoicing and inventory are where professional setup is worth paying for.

What are the hidden costs of a Zoho Books implementation?

Cleaning up old Tally data before migration, reconciling opening balances invoice by invoice, agreeing GST credit and TDS to the portals, your own staff’s time in the parallel month, and occasionally a higher Zoho plan or paid connector than first budgeted.
